1. Introduction
Welcome to Sopia ("Service"), operated by Sopia ("we", "us", "our"). By accessing or using our Service at sopia.xyz, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you may not use the Service.
2. Description of Service
Sopia is a SaaS platform that helps organizations create, manage, and execute Standard Operating Procedures (SOPs) using AI-assisted tools. The Service includes AI-generated SOP creation, interactive checklists, step-by-step operator guidance, AI-powered help system, manager escalation workflows, and execution tracking and analytics.
3. Account Registration
To use the Service, you must create an account with a valid email address and password. You are responsible for maintaining the confidentiality of your account credentials. You must provide accurate and complete information during registration. You must be at least 18 years old to use the Service. You are responsible for all activities that occur under your account.
4. Organizations and Roles
The Service operates on an organization-based model. Each user belongs to one organization. Organizations have three roles: Admin, Manager, and Operator. The Admin is responsible for managing organization membership and settings. By inviting users to your organization, you confirm that you have the authority to do so.
5. Free Trial and Subscription
We offer a 14-day free trial with full access to all features. No credit card is required to start a trial. After the trial period, you must subscribe to the Growth plan (€99/month) to continue using the Service. Your data is preserved after the trial ends and remains accessible upon subscription. Pricing is subject to change with 30 days notice.
6. AI-Generated Content
The Service uses artificial intelligence to generate SOPs and provide help to operators. AI-generated content is provided as a starting point and should be reviewed by qualified personnel before use. We do not guarantee the accuracy, completeness, or suitability of AI-generated content. You are responsible for reviewing and validating all AI-generated procedures before they are used in your organization. We are not liable for any damages resulting from reliance on AI-generated content.
7. Data and Privacy
Your use of the Service is also governed by our Privacy Policy. You retain ownership of all data you input into the Service. We process your data only to provide and improve the Service. Each organization's data is isolated and cannot be accessed by other organizations. For more details, please read our Privacy Policy.
8. Acceptable Use
You agree not to use the Service to: violate any applicable laws or regulations; upload harmful, offensive, or illegal content; attempt to gain unauthorized access to the Service or its systems; interfere with or disrupt the Service; reverse-engineer or attempt to extract the source code of the Service; use the Service for any purpose that could cause harm to others. We reserve the right to suspend or terminate your account if you violate these terms.
9. Limitation of Liability
The Service is provided "as is" without warranties of any kind. To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages. Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim. This limitation applies to all causes of action, including breach of contract, negligence, and other torts.
10. Changes and Termination
We may update these Terms at any time. We will notify you of significant changes via email or through the Service. Continued use of the Service after changes constitutes acceptance of the updated terms. You may terminate your account at any time by contacting us at hello@sopia.xyz. We may terminate or suspend your account for violation of these terms. Upon termination, your right to use the Service ceases, but we will preserve your data for a reasonable period.
